BillIQ ("we", "us", "our") is operated from India and provides AI-powered invoice analytics for small businesses. This Privacy Policy explains what information we collect, why we collect it, and the choices you have. By using BillIQ, you agree to the practices described below.
1. Information we collect
Account information
When you sign up, we collect your name, email address, password hash, and (optionally) your business name, GSTIN, and phone number. If you sign in with Google, we receive your basic profile from Google.
Invoices and business documents
You may upload invoices, receipts, and bills as PDF, JPG, or PNG. From these documents we extract structured fields such as vendor name, GSTIN, invoice number, date, line items, tax amounts, and totals. Both the original file and the extracted fields are stored in your private workspace.
Usage and analytics
We log technical events such as login times, upload counts, plan utilisation, error reports, IP address, browser, and device type. We use this to keep the service reliable and to detect abuse.
Payment information
Payments are processed by Razorpay. We never see or store your full card number, UPI PIN, CVV, or net-banking credentials. We receive only a payment confirmation, the masked instrument type, the amount, and a Razorpay reference ID, which we store against your subscription.
2. How we use your data
- Provide the BillIQ service: extract data from your invoices, generate analytics, estimate GST liability, and produce AI insights.
- Operate your subscription and process payments via Razorpay.
- Send transactional emails (receipts, password resets, security alerts).
- Improve reliability, performance, and security of the platform.
- Comply with applicable Indian laws including the IT Act and the DPDP Act, 2023.
3. AI processing
Invoice text and images are sent to large-language and vision models (including Google Gemini and OpenAI GPT models) strictly to extract fields and produce insights for your account. We do not allow these providers to use your data to train their public models. Outputs are returned to your private workspace.
4. How we protect your data
- All traffic is encrypted in transit using HTTPS/TLS.
- Files are stored in private, access-controlled object storage.
- Database access is enforced with row-level security so that one customer can never read another's data.
- Admin actions are role-gated and audit-logged.
- Secrets and API keys are stored server-side only and never shipped to the browser.
- We use Cloudflare Turnstile to protect signup and login from bots.
5. Data sharing
We do not sell your data. We share it only with:
- Razorpay — to process payments you initiate.
- Cloud infrastructure providers — to host the application and database.
- AI providers — strictly to fulfil your extraction and analytics requests.
- Law enforcement or regulators — only when required by valid Indian legal process.
6. Data retention
We retain your account data and invoices for as long as your account is active. Payment records are retained for at least 8 years to comply with Indian tax and accounting regulations. Backups are rotated within 30 days of deletion.
7. Your rights
You can, at any time:
- Access and export your invoices and extracted data from the dashboard.
- Correct your profile information from the Profile page.
- Cancel your paid subscription from the Billing page.
- Request deletion of your account and associated data (see below).
8. Account deletion & data removal
To permanently delete your account and all associated invoices, email ai.business.support.team@gmail.com from the address registered with your account, with the subject line "Delete my BillIQ account". We will:
- Verify the request within 2 business days.
- Delete your invoices, extracted fields, and profile within 7 business days.
- Retain only the minimum payment metadata required by Indian tax law.
- Confirm completion by email.
9. Children
BillIQ is intended for businesses and is not directed at children under 18. We do not knowingly collect data from minors.
10. Changes to this policy
We may update this policy as the product evolves. Material changes will be notified by email or via an in-app banner at least 7 days before they take effect.
